Photography, Video and Recording Policy

For Parents, Guardians and Caregivers

Purpose:

Our service is committed to providing a safe, respectful and confidential environment for all children, families and therapists. This policy outlines expectations regarding photography, video recording, and audio recording within our therapy spaces to protect the privacy, confidentiality, and safety of everyone attending our clinic.

Confidentiality and Privacy:

Attendance at our service is confidential. We do not share identifying information about children or families without appropriate consent.

Photography or video recording within the clinic/therapy spaces may unintentionally capture other children, families, or therapists. This may result in a breach of confidentiality and privacy. Once an image or recording is taken, the service cannot control how it is stored, shared, or distributed, including online or via social media.

This may present additional risks in circumstances involving:

  • Court orders or custody arrangements
  • Family violence or safety planning
  • Out-of-home care arrangements
  • Other situations where privacy and confidentiality are critical to safety

For these reasons, strict guidelines apply to photography and recording within our service.

Policy Statement:

Photography, video recording, and audio recording within the clinic is not permitted without prior consent.

This includes photographing or recording of your own child.

Consent Requirements

If a parent, guardian, or caregiver wishes to take a photo, video, or recording during a session/whilst in the clinic, the following conditions must be met:

  • Permission must be obtained from the therapist before any recording takes place
  • The therapist has the right to decline or withdraw consent at any time
  • Recording is only permitted if it can be done in a way that ensures:
    • No other children, families, or therapists are visible or identifiable
    • Confidentiality of other clients is fully protected
  • Recording must not disrupt the therapy process

In shared spaces (such as the family hub, waiting areas, or group therapy areas), photography and recording are not permitted due to the increased risk of capturing others without consent.

Use and Sharing of Images and Recordings

If permission is granted to take a photo or recording:

  • The recording must be for private, personal use only
  • Images or recordings must not be shared publicly, including on social media, without appropriate consent from all identifiable individuals
  • The service is not responsible for the storage, use, or distribution of any recordings taken by families

Respect for the Therapeutic Environment

A therapy setting is a confidential environment and differs from community play spaces. Maintaining privacy, safety, and trust is essential to supporting children and families.

We ask all families and visitors to respect the privacy and confidentiality of others at all times.
